Gate-In Portal: The First Checkpoint, Digitised
Every inbound vehicle recorded against its PO and invoice, checked for quality and followed through GRN, booking and payment. One record from the gate to the ledger.
- 45-day pilot at one gate
- ERP-agnostic and configurable
- One record from gate to payment
What the Gate-In Portal is
The Gate-In Portal is the digital gate of Cresolv One. When a vehicle arrives, gate staff record it against the purchase order and invoice it is carrying. A QC check follows. The entry receives a gate-in number and a document ID, and from that point the delivery can be followed through goods receipt, invoice booking and payment on one record.
It replaces the paper register, the end-of-shift spreadsheet and the phone calls between security, warehouse, procurement and accounts that sit behind them.
Why the gate is where problems start
Most inbound disputes begin at the gate. A vehicle arrives and nobody can say whether it was expected, which PO it belongs to, or whether the invoice in the driver's hand matches the order. Goods are received without a reference, or sit in the yard without a record.
Later, finance cannot confirm receipt, the vendor claims delivery, and the warehouse says the goods were rejected. Each team holds a different version of the same event.
How a delivery moves through the portal
- Arrive: the vehicle is recorded with vendor, vehicle number, PO and invoice, in single or multi-invoice mode.
- Check: QC records the inward type and a rejection reason where goods are refused.
- Link: the entry carries a document ID shared with AP, so invoice and goods are tied together.
- Verify: material mapping, rate, tax and goods receipt are tracked as stages on the record.
- Close: invoice booking, MIRO and payment status complete the picture.
Because every step lands on one record, anyone can open a delivery and see exactly where it stands.
Single and multi-invoice entries
A truck often carries more than one invoice. Gate-In supports both single-invoice and multi-invoice entries, so the vehicle is captured once with each invoice and PO recorded against it. Boxes and quantities are captured per entry, and each entry gets its own gate-in number.
Lists can be filtered on any column, searched by document ID, invoice number or PO, and exported for the current page or for a date range.

Quality control with a recorded reason
The QC step gives each entry an inward type and, where goods are refused, a rejection reason. The decision stays attached to the entry.
- Warehouse sees what was refused and why.
- Procurement can raise the issue with the vendor with the record in hand.
- Finance can hold the invoice with a documented reason.
- The vendor sees the same status in the Vendor Portal.
Inward types and rejection reasons are configured to your process, so the labels match the way your team already talks.
The warehouse report, stage by stage
Beyond the gate, the warehouse report follows each entry through the finance-facing steps. For every delivery it shows the stage and the date.
| Stage | What is tracked |
|---|
| Material mapping | Whether items are mapped to your item master, and when |
| Rate and tax verification | Whether rate and tax checks have passed |
| GRN verification | Goods receipt status and date |
| Invoice booking | Booking status and date, with the ERP document number |
| Payment | Payment status, amount and transaction reference |
This is the link between operations and finance. The warehouse team and the AP team read the same record.

A dashboard for the warehouse and finance head
The warehouse dashboard shows how many deliveries have been processed and their total value, and for each stage how many are complete and how many are pending, with values. Ranges run from one week to one year. A stage chart shows where deliveries are queueing.
If most deliveries are waiting at GRN, or booking is lagging behind receipt, it shows at a glance, and the conversation moves from guessing to fixing.
How it fits with AP and the Vendor Portal
Gate-In is one part of a connected flow. Vendors send an ASN and book an appointment in the Vendor Portal. The vehicle is recorded at the gate. The same document ID flows into AP Automation, where the invoice is matched against the PO and the goods receipt.
You can start with Gate-In alone, but the value grows as the pieces connect: fewer status calls, faster matching and fewer unmatched invoices.
Who it is for
The portal suits teams that receive regular inbound deliveries against purchase orders.
| Team | Typical pressure |
|---|
| Manufacturers | Raw material and packaging arriving against open POs |
| Distributors and 3PLs | Many vendors and many deliveries a day |
| Retail and consumer brands | Multi-plant receiving with finance waiting on GRN |
| Shared service centres | Invoices held because receipt cannot be confirmed |
If you receive only a handful of deliveries a week, a simple register may be enough for now.
The fields, plants, locations, inward types, QC reasons and stages are set up per client during scoping. Gate-In is ERP-agnostic, and the integration method is agreed with you. Deployment and hosting are agreed per client need.
A 45-day pilot at one gate
A pilot runs for about 45 days at one plant or gate. We configure the entry form, QC reasons and stages with your team, run live deliveries through the portal, and review the warehouse report and dashboard together.
Pilot results are indicative of what your own deliveries will show, and we do not quote outcome figures before testing on your data.
