Gate-in software often gets evaluated on how fast it logs a vehicle's arrival, but arrival logging is the easy part. The real test is what happens between arrival and putaway — whether the GRN, dock allocation, and downstream data actually connect, or whether the gate system is an island that still leaves the rest of the process on paper.

What to evaluate before you choose a platform

  • Is the GRN generated at the point of receipt, or reconstructed later? A GRN raised hours or days after goods are received, from memory and a stack of delivery challans, is a weak record — and it delays everything downstream that depends on it, including vendor payment and putaway.
  • Does dock allocation actually optimize, or just queue trucks in order of arrival? Smart allocation based on vehicle type, commodity, and dock availability reduces congestion. First-come-first-served doesn't.
  • Is vehicle status tracked in real time from gate to unloading? Most systems can confirm "truck arrived." Fewer can tell you, right now, where that truck is in the yard and how long it's been waiting.
  • Are shortages and damage captured at receipt, not discovered later? If quantity and condition verification only happens after the fact, a shortage or damage claim made days later is a much weaker claim.
  • Does gate-in data flow directly into putaway instructions? If GRN completion and putaway assignment are two disconnected steps, you've digitized the gate but kept the manual handoff that follows it.
  • Does it connect to your ERP for GRN posting? A GRN that has to be manually re-entered into the ERP after being captured at the gate has only moved the data-entry problem, not removed it.

Questions worth asking any vendor

  • "Is the GRN generated automatically at the point of receipt, or does someone create it afterward?"
  • "How does dock allocation actually work — is it optimized, or just a queue?"
  • "Can I see a vehicle's real-time status between gate-in and unloading completion, not just 'arrived' or 'left'?"
  • "Does GRN data flow directly into putaway, or is that a separate manual step?"
